Race Briefing — Why It’s Important

The race briefing notes isn’t just a formality — it’s essential. It covers the rules, safety information, course layout, timing structure, and everything you need to know to stay in the event. Reading it carefully ensures you understand how the Bottlebutt Bash Trail Run format works, what’s expected of you each lap, if you are racing the 42.2km distance and how to keep yourself safe and prepared throughout the day. The runners who know the race briefing notes, are the runners who stay in the game longer.

Run the Bash.
Meet the Old Bottlebutt.
Become part of the story.

Bottlebutt is more than just a race — it’s an invitation into a living, breathing landscape that has shaped runners, communities, and stories for years. Every step through Burrawan State Forest pulls you deeper into its magic: the twisting singletrack, the quiet pockets of ancient bush, and the moment you round a bend and meet Old Bottlebutt — a 200‑year‑old red bloodwood standing like a guardian of the trails. This phrase reminds runners that the Bash isn’t conquered; it’s experienced. You don’t just run the course, you connect with the place.

The Bottlebutt Bash Trail Run offers four distances designed to welcome every runner into that story — from the fast and fiery 7km to the full 42.2km marathon that loops the forest twice. Each course is built to challenge, inspire, and reward, giving runners the chance to test themselves against terrain shaped by nature, not by man.

Whether you’re chasing a PB, chasing adventure, or simply chasing the feeling of being part of something bigger, the Bash delivers. Step onto the trails, meet Old Bottlebutt, and write your chapter in this iconic Port Macquarie trail experience.

Why Our No‑Audio Rule Exists — And Why It Must Be Respected

For more than ten years, Coastal Track & Trail Runners has enforced a strict zero‑tolerance ban on all audio devices at every event we operate. This rule is not new, not sudden, and not optional. It exists because we have seen — firsthand — how dangerous audio hardware becomes in a remote forest environment.

The Incidents That Created This Rule Were Not Accidents — They Happened Because Runners Ignored It

Every serious situation we’ve faced involving audio devices came from runners who chose not to follow the rule. They waited until they were out of sight, put their headphones back in, and assumed it “wouldn’t matter”, well it does.

We know this because:

  • We have seen runners wearing audio devices in photos on course.
  • We have had runners cross the finish line still wearing earbuds, forgetting to remove them.
  • We have had to disqualify runners who knowingly broke the rule.
  • We have had runners argue with us at the finish line, even though the rule is clearly stated, long‑standing, and non‑negotiable.

These moments ruin your day, but they also ruin ours. We spend 12 months planning, building, maintaining, and delivering these events. Endless hours. Countless volunteers. Safety briefings. Course checks. Risk assessments. All so you can have an incredible experience.

When someone breaks a simple rule and then argues with us about it, it tarnishes the experience for everyone — especially us as Race Directors. Our reward for all the hard work over the past year is race weekend and what do you think we remember the most about the event when we have to deal with people not following the simple rules.

We don’t want to be put in that position. We don’t want conflict. We don’t want to spend race day defending a rule that has existed for a decade.

We want to welcome you, support you, cheer for you, and celebrate your achievement — not debate safety rules that protect you and our team.

The Real Safety Risks We Have Faced

These are not hypothetical scenarios. They are real situations caused by runners who ignored the rule:

1. Runners unable to hear others trying to pass safely

We have had runners on narrow roads and single‑track who could not hear someone calling out “passing on your right/left.” This has caused collisions, falls, and dangerous near‑misses.

2. Vehicle safety risks on mountain roads

Our team drives up and down the mountain at all hours — day and night — for course checks, emergency response, and aid station support.

If a runner sits or rests on a road and cannot hear a vehicle approaching, we may not see them in time. Fog, darkness, blind corners, and steep terrain make this extremely dangerous.

3. Emergency communication failures

If a runner falls off the side of the mountain, slips down an embankment, or suffers a medical emergency, they rely on nearby runners to hear their calls for help.

A runner wearing audio devices — even bone conduction — may not hear someone calling out from below or behind.

Seconds matter. Audio devices remove awareness.

4. Wildlife, sweep teams, and general trail awareness

You must be able to hear everything around you — runners, vehicles, wildlife, volunteers, sweepers, and emergency crews.

Audio devices remove that awareness, even when the wearer believes they can “still hear everything.”

Why We Cannot Debate This Rule

We understand that some runners enjoy listening to music or podcasts while they run. But this is not a personal preference issue. This is a safety issue with real consequences.

If you choose not to attend our events because of this rule, we respect your decision.

What we cannot allow is:

  • arguments at check‑in
  • debates at the finish line
  • attempts to negotiate exceptions
  • complaints directed at volunteers
  • disrespect toward staff enforcing a rule that protects everyone

It is our race, and the safety of you, our volunteers, our crew, and the public is our highest priority.

We want you to enjoy your time at our events, meet new lifelong friends, and experience the trails safely — not create conflict over a rule that has been in place for a decade.

Final Message

We care deeply about every runner who steps onto our course. We care about our volunteers. We care about our crew. We care about the community that supports these events.

This rule exists because we want you safe — and because we have seen what happens when it is ignored.

Thank you for respecting it. Thank you for supporting our team. Thank you for helping us keep these events safe, enjoyable, and sustainable for years to come.

You are expected and encouraged to socially interact with other competitors.

- Policy Definition
To maintain the highest standard of safety for participants, staff, the general public, and local wildlife within the forest ecosystem, Coastal Track and Trail Runners operates our events with a zero-tolerance policy regarding audio devices.
- Prohibited Equipment
The wearing or carriage of any audio-capable hardware on the head, neck, or ears is strictly prohibited. This includes, but is not limited to:
• All Headphones & Earbuds: Over-ear, on-ear, in-ear, wired, or wireless.
• Bone Conduction Technology: Any device utilizing bone conduction (e.g. Shokz), regardless of whether the ear canal remains open.
• Smart Wearables: Audio-integrated glasses, headbands, or hats.
• External Speakers: Any device broadcasting sound from a pack or belt.
NOTE:MOBILE PHONES
MUST BE CARRIED FOR PHONE CALLS ONLY (MANDATORY GEAR - SAFETY COMMUNICATION DEVICE)
- Scope of the Ban
• The "Power Status" Irrelevance: A device is considered in violation of the rules if it is worn on the person, regardless of whether it is powered on, playing media, or being used for communication.
• Situational Awareness: Claims of being able to hear ambient noise while wearing a device will not be accepted as a valid defence. The ban is absolute to ensure uniform enforcement by race marshals.
- Mandatory Exceptions
The only exception to this rule is for medically prescribed hearing aids. If a participant requires hearing aids, they may be asked to provide medical verification if the device resembles commercial earbuds.
- Enforcement & Penalties
a) On-the-Spot Disqualification (DSQ): Any participant observed by a race official, marshal, or sweep timer wearing a prohibited device at any point from the start line until they cross the finish line and after if found in photos wearing or holding devices will be disqualified immediately.
b) No Warnings: Due to the safety implications in a forest environment (emergency vehicle access, animal encounters, and runner overtaking, general public), no warnings will be issued. The official’s decision is final and not subject to appeal.
- Common Asked Question about Bone Conduction Technology:
This rule is a hardware-based ban, not a volume-based one.
While we understand runners position that bone conduction technology allows for ambient noise, our policy does not distinguish between different types of audio transmission. The presence of the device on the head/neck is the violation. This ensures our marshals can enforce safety rules consistently without having to test the volume or technology of every participant. If the device is worn during the event, disqualification will stand to ensure fairness and safety for all competitors who adhered to the mandatory safety briefing."
Please Note, this is a Coastal Track and Trail Runners Race event safety rules for all events we run. It explicitly prohibit the 'wearing of any audio devices.' This rule is a hardware-based ban, not a volume-based one.
Race Directors decision is final. RD’s

While reading this information, please keep in mind that all views expressed will always be biased in favor of eating a healthy diet, hard training that emphasizes quality over quantity, and prudent supplementation to improve health and performance.
